Synexus meter setup guide

Meter Setup & Meter-Based Maintenance

Reference Guide for New System Operators

Overview

Setting up meter-based maintenance takes three tasks, done in this order: create the meter, attach it to an asset, then schedule maintenance off it. Each task depends on the one before it, so skipping ahead means the item you need won’t appear in the search lists.

Example used throughout: a service truck that needs an oil change every 4,500 miles.

Part 1: Creating a Meter

A meter is built from three codes: a type, a unit, and a name. Create the type and unit first, because the meter name pulls from both.

Navigate to: Maintenance menu > Company Setup > Codes Setup > Meters

Step 1: Create the meter type
  1. Select Meter Types.
  2. Click Add.
  3. Enter a name and description (example: Odometer / Vehicle mileage meter).
  4. Press Enter to save.
Step 2: Create the meter unit
  1. Return to the Meters menu and select Meter Units.
  2. Click Add.
  3. Enter a name and description (example: MI / Miles).
  4. Press Enter to save.
Step 3: Create the meter name
  1. Return to the Meters menu and select Meter Names.
  2. Click Add.
  3. Enter the meter name (example: Truck Odometer).
  4. In the Meter Type field, click the search icon and select the type from Step 1.
  5. In the Meter Unit field, click the search icon and select the unit from Step 2.
  6. Press Enter to save.

Check before moving on: the new meter name appears in the Meter Names list with the correct type and unit.

Part 2: Attaching a Meter to an Asset

Attaching the meter tells the system which piece of equipment it tracks and what the reading is today. You’ll need the meter name created in Part 1.

Navigate to: Maintenance menu > Capital Assets > select a category (Equipment, Vehicle, etc.) or All Assets

Step 1: Find and open the asset
  1. Search for the asset by typing its name or description in the search boxes at the top of the columns.
  2. Highlight the asset.
  3. Click Edit. A new window opens.
Step 2: Add the meter
  1. Select the Service tab.
  2. Click Add.
  3. Select the relevant date. This is often the last date the asset was serviced.
  4. Enter the current meter reading (miles, runtime hours, etc.).
  5. In the Meter Name field, click the search icon and select the meter for this asset.
  6. Press Enter to save.

Keep this window open. Part 3 starts from the same asset edit window.

Part 3: Creating Scheduled Maintenance Based on a Meter

A meter-based schedule triggers maintenance after a set amount of use, such as every 4,500 miles. You’ll work in the same asset edit window used in Part 2.

Step 1: Create the scheduled maintenance record
  1. In the asset edit window, select the Scheduled Maintenance tab.
  2. Click Add.
  3. On the General tab, enter a description (example: Oil change).
  4. If relevant, select the Work Order Type, Group, and Priority.
  5. Click Save in the top left corner of the window. A new Schedule tab appears.
Step 2: Set up the schedule
  1. Select the Schedule tab.
  2. Set Schedule Type to Meter.
  3. Enter the last scheduled date.
  4. In the Meter Asset field, click the search icon and select the asset you attached the meter to.
  5. Select the Meter Name (the meter attached in Part 2).
  6. Enter the Scheduled Maintenance Units Between. This is the service interval (example: 4500 for an oil change every 4,500 miles).
  7. Click Save in the top left corner of the window.
Quick Tips and Common Sticking Points

If this happens

Check this

The meter type or unit isn’t in the search list when creating a meter name

Confirm it was saved in Part 1, Step 1 or Step 2. Codes must exist before they can be selected.

The meter isn’t in the search list on the Service tab

Confirm the meter name was saved in Part 1, Step 3.

There’s no Schedule tab

Click Save on the General tab first. The Schedule tab only appears after that save.

The meter isn’t available on the Schedule tab

Confirm the meter was attached to this asset on the Service tab in Part 2.

You can’t find the asset

Try All Assets instead of a single category, and search by description as well as name.

  • Two ways to save: code screens and the Service tab save with Enter. The Scheduled Maintenance windows save with the Save button in the top left corner.
  • Readings matter: enter an accurate current reading when attaching the meter. Double-check the number and the unit (miles vs. hours) before saving.
